CLUB POLICIES

Pemberton Volleyball Club Conflict Of Interest

1. Purpose
This policy is to protect the integrity and standards of the Pemberton Volleyball club and to
ensure that all decisions are made in the best interest of our athletes and community. This policy
provides guidance to identify, disclose, and deal with any situations where personal interests
could conflict with the PVC mission and vision.

2. Definition
A conflict of interest occurs when an individual’s personal interests—financial, familial, or
otherwise—could compromise or appear to compromise their ability to make fair, objective, and
impartial decisions on behalf of the PVC.
Examples include (but are not limited to):
-A PVC representative or coach who may personally benefit from a Club decision.
-Accepting gifts, or money, or services from individuals or organizations seeking to do
business with the Club.
-Accepting gifts, or money, etc from parents wishing to gain a spot on the team.
-Using Club resources or information for personal gain.

3. Procedure
1. The Club Director will review the conflict and make a decision if a conflict exists.
2. If a conflict is confirmed, the individual must abstain from discussion, or decision-making on
the matter while the club director gathers info.
3. The decision and steps taken to address the conflict will be documented.
4. Failure to disclose or appropriately manage a conflict of interest may result in disciplinary
action, including termination of a volunteer role, or other measures as determined by the Club.

4. Confidentiality & Integrity
All communication and resolution processes will be handled confidentially. Only those directly
involved will have access to information pertaining to the case.
PVC is built on integrity and community values, and upholds this standard thru fairness and trust.
